Where your invoices and credit notes live, how their numbers and statuses work, what the document shows, how to download a PDF, how VAT is charged by country, and how an EU business adds a VAT number for reverse charge.
Every charge on your account produces an invoice, and every credit produces a credit note. They are all on the Billing page, viewable in the browser and downloadable as PDFs, with your billing details and the right tax treatment printed on them. This guide covers reading them, keeping your details correct, and how VAT is decided.
| At a glance | |
|---|---|
| You need | a Falix account with at least one payment |
| Where | Billing → Invoices, and Billing details on the same page |
| Time | two minutes to download an invoice; five to add a VAT number |
Open Billing and scroll to Invoices. The list shows the newest documents first with their number, date, amount and status, and Load more fetches older ones. View opens the document; from there Dark PDF or Light PDF downloads it in either colour scheme. Invoices are generated from your payment history whenever you open them, so an old invoice can always be downloaded again.
You also get a receipt email for each charge, titled "Falix receipt: invoice INV-…", so searching your mailbox for the invoice number works too.
| Prefix | Document | Example |
|---|---|---|
INV- |
an invoice for a charge (a server, a renewal, a prorated upgrade, late interest) | INV-2026-000042 |
CN- |
a credit note for money returned to you as credit or refund | CN-2026-000015 |
GC- |
a gift card purchase | GC-2026-000007 |
The year is the year of the transaction and the six digits identify it, so numbers are unique and never reused.
The VAT line changes with your situation: a rate and amount for EU consumers, a Reverse charge notice for a verified EU business, and "VAT not applicable" outside the EU.
| Badge | Meaning |
|---|---|
| Paid | the charge went through |
| Refunded | the full amount went back to your payment method |
| Partial Refund | part of it went back (for example when the payment also settled an older balance) |
| Credit / Credit Issued | a credit note: this amount was added to your credit balance or refunded |
Unpaid invoices do not exist as documents: a failed renewal shows up as an outstanding balance on the Billing page instead, and the invoice appears once it is paid.
A credit note is issued whenever money comes back to you rather than being charged:
They carry the same details as an invoice and show the credited amount. Credit you spend later appears as a "credit applied" line on the invoice it paid.
🎯 Good to know: Think an invoice is wrong? The User Agreement gives you 30 days from the invoice date to raise it through a support ticket, so check new invoices when the receipt email arrives.
Your country and ZIP code are required before any purchase: the country sets your VAT rate and both are printed on every invoice. Set them in the Billing details card on the Billing page (Set up now the first time, Edit billing details after that) or in the Billing details step of the checkout, which saves them for next time.
Changing your details only affects future invoices; existing ones are never rewritten.
Falix is based in Latvia, so EU VAT rules apply. Prices are shown VAT-inclusive, and what the VAT line says depends on who you are:
| You are | VAT on your invoices |
|---|---|
| A consumer in the EU | your country's VAT rate, already included in the displayed price |
| A business in the EU outside Latvia with a verified VAT number | 0%, reverse charge: you pay the price without the VAT component and account for VAT yourself |
| A business in Latvia | Latvian VAT, even with a VAT number (domestic sales are taxed) |
| Anyone outside the EU | no VAT; the invoice says "VAT not applicable" |
A business without a VAT number can still buy as a business: the company name goes on the invoice and VAT is charged like a consumer's.
DE123456789, FR12345678901, NL123456789B01; Greek numbers use EL).The same fields exist in the checkout's billing step, so you can do this on your first purchase.
To go back to consumer billing, open the same modal, clear the company name and VAT number, and save.
⚠️ Heads up: Verification is only as good as the register. A number VIES does not know (newly issued, or not valid for cross-border trade) fails verification, and a Latvian number never removes VAT. Check the number on the EU VIES site if the panel rejects it.
| Problem | Fix |
|---|---|
| VAT number will not verify | Add the country prefix, remove spaces, and confirm the number is active in VIES. If VIES itself is unreachable the panel says so; try again later. |
| Still charged VAT after adding a number | Latvian businesses always pay VAT. Otherwise check the Verified badge is showing and that you pressed Save changes. |
| Wrong VAT rate | The rate follows your billing country. Edit the location and the next charge uses the new rate. |
| Company details missing from an invoice | Details apply to invoices issued after you saved them. |
| A document opens as "We couldn't find …" | Check the number, and open it from your own invoice list: documents belong to the account that paid. |
